Job Description Summary

The Accounting Coordinator will act as the primary back up for faculty and staff payroll and is responsible for the timely processing and payment of all student timesheets for the Institute. Prepare biweekly payroll journal entries and upload them to Banner. Reconcile, manage and report on monthly procurement card program. Manage Papervision program by collecting, maintaining and reporting on all documents sent out for scanning. Assist and provide back up support to Accounts Payable in all functions. Assist Accounting Staff with various projects.

Essential Functions

Essential Function

1. Act as primary back up for Accounting Manager, as necessary, with processing of biweekly faculty and staff payrolls by collecting timesheet data through automated system, ensuring timesheet data abides by Wentworth’s pay policies, collecting faculty course contracts from department heads each semester and entering into payroll system for payment, setting up new hires on timesheet system and iPay website, entering all employee payroll changes, calculating manual checks as required, and completing checklist for terminated employees.

2. Act as point of contact for TimeSaver account questions, password resets, and iPay inquiries. Complete other payroll inquiries as needed including, cut not limited to, employment verifications, salary inquiries and timesheet issues.

3. Process biweekly student payroll as well as train and oversee student payroll backup. Review ADP Quickview reports before final payroll is transmitted. Create, maintain and report on all Federal Work Study, WIT Work Study and Leopard work earnings on a fiscal year basis. Work with Financial Aid to ensure ADP and Banner records are in balance. Assist Financial Aid with annual reporting requirements with regard to the Federal Work Study Program

4.Prepare biweekly journal entries for faculty, staff and student payroll ensuring that total gross pay amounts on all journal entries equal statutory deductions plus voluntary deductions plus net cash. Upload journal entries to Banner once they have been reviewed and approved by Accounting Manager. Research inquiries related to payroll budgets when necessary.

5. Reconcile, manage and report on monthly procurement card program. Review statements received from employees to ensure purchases are valid, receipts are attached and business purpose has been noted. Notify employees and/or managers when statements are not received or incomplete and follow up as necessary. Act as department liaison with Purchasing Department to resolve outstanding issues.

6. Manage Papervision program by collecting, maintaining and reporting on all documents being sent out for scanning. Act as point of contact for all Papervision inquiries.

7. Assist Accounts Payable by opening and sorting in-coming mail, entering invoices and purchase orders into accounting system, cutting checks, assembling checks for review, distributing checks after review, and filing checks and supporting documentation.
