Job Description Summary

Provide support to the Academic Department Head, faculty and students. Manage daily operations in the office including academic and financial records.

Full-time and Adjunct Faculty

Essential Function

Provide support for full-time faculty in daily operations including; answering general questions about the two departments to prospective students, directing students to the appropriate faculty advisor, submitting AV/media requests, submitting room requests, organizing mass mailings to area industry professionals and/or alumni, coordinating special events such as accreditation visit receptions and faculty/student exhibits. Provide support for adjunct faculty with daily operations (as listed above), advising on Wentworth’s policies and procedures, maintaining personnel files including previous contracts, organizing teaching materials and acting as liaison between the adjunct faculty and the students, full-time faculty and department chairs.

Provide support to the Department Chairs in daily operations, organize and maintain statistics on programs to include students, faculty achievements, etc., monitor and update the departments websites, draft student and faculty course schedules each semester and coordinate with the Registrar and other departments to finalize. Schedule IPAC meetings. Produce intra-departmental communication graphic pieces.

Work with Department Chairs in the management off the department budget in regards to placing all office supply orders, shop supply orders, book orders, industry magazine subscription, catering orders for special events, maintain financial records including check requisitions.

Manage academic records of both current students and graduates including keeping student files current and organized, work with the Registrar’s office in regards to transfer student transcripts, manage student academic paperwork including Course Substitution, Change of Major. Manage/administer on-line Add/Drop procedures to ensure that students are registered for correct department sections.

Essential Function

Provide support for students including general academic advising, scheduling appointments with faculty advisors and/or the Department Chairs, manage work study students by assigning special projects and organizing daily duties such as mail retrieval/distribution and copy jobs, and verify work study timesheets.

General facility management in regards to submitting work orders to physical plant for any minor repairs in the offices, studios or classrooms, contacting the cleaning crew about any cleaning issues.
