Job Description Summary

Directly responsible to the Department Head and also Department Manager of the Civil, Construction & Environment Department for the administrative and clerical duties related to the day-to-day operation of the department. Additional responsibilities include working with the department administration on a variety of projects related to the department’s academic programs and the needs of the department’s faculty in carrying out their academic responsibilities.

Fiscal Responsibility: Describe the type and scope of fiscal responsibility.

Orders office supplies and some materials for laboratories. All orders are approved by Department Head.

Minimum Education Required High school diploma or GED
Preferred Education Associate's degree, or vocational or technical school degree
Minimum Work Experience Required 1 - 3 years

Minimum Knowledge Required Working knowledge of fundamental concepts, practices and procedures and ability to apply in varied situations. Uses instructions and guidelines to perform the job safety function. Periodic training will be required.

Essential Function

Prepare Federal Work Study paperwork from Financial Aid. Interview and hire, schedule and direct the workflow of work-study students and other student labor. Monitor and sign their timesheets and distribute paychecks. Complete and submitt Accounts Payable and Travel Expense forms . Process all travel requests and reservations. Setup and maintain student files.

Essential Function

Responsible for all aspects of scheduling including requests and problem-solving to ensure that registration and classes run as smooth as possible for faculty and students. Coordinate all efforts with Dept. Chair and the Registrar’s Office. Communicate with and complete contracts for adjunct professors each semester. In addition, provide relevant information to allow adjuncts to function professionally in all aspects. In addition, assist the Dept. Chair with full-time summer contracts and provide relevant information to Human Resources and DTS.

Essential Function

Complete review of degree audits for students especially Seniors. Inform students if substitution or other forms are needed. Set Appointments with students to update their audits. Arrange to meet with advisor if necessary.

Essential Function

Coordinate CM Freshman WOW orientation. Compile Freshman information folder with Dept. Chair Input. Process new students and set up advising at the beginning of the semester. Also coordinate Advising Fair during the Fall and Spring semesters for upcoming course registration. Coordinate materials and schedule details for faculty for Open Houses, New student Orientation, and Accepted Student Day’s.

Essential Function

Assist in the development and production of departmental informational material. Develop and maintain state-of-the-art skills through participation in on- or off-campus seminars and workshops.

Compile a Departmental Reference Guide to include data on curricular and planning, full-time faculty, adjunct faculty, courses, students and graduates. Final printing to be included in College Guide.
