Job Description Summary

This position reports to the Director of Advancement Operations and is essential to the organization. The Information Systems Coordinator is responsible for creating and managing an effective infrastructure to support the gift processing, prospect management and database needs of the Institutes’ annual operations program. Accuracy of gift entry, biographical data entry, and data requests are vital. Data integrity is essential, as many development efforts are only as good as the data we have on file. This management process is a key component of the Institute’s donor stewardship program. This position creates reports not only for faculty and colleagues but reports for senior administrators as well as trustees; the outcome of these reports many times can shape the future of the Institute. The Information Systems Coordinator supervises the work and responsibilities of the Development Associate and Student Biographical Workers.

Essential Function

Analyze and interpret user data retrieval requests and design and develop appropriate reports from the Millennium gift system database, using knowledge of the internal structure and functionality of the Millennium system, including Internet Reporter and Crystal Report writing. Create management reports for senior administrators, trustees, faculty, and staff. Manage all data requests for mailings. This would require navigating and retrieving data from application databases and exporting the data as needed to MS Windows and Office products (Word, Excel, Access, MapPoint, or PowerPoint). Manage and maintain the most up-to-date trustee and corporator data and printed lists. Maintain the library of reports developed for the Institutional Advancement Division and other Institute departments along with writing the documentation on each report to allow a thorough understanding of the retrieval and pertinent business rules employed for each report. Maintain database dictionaries, code files, tables, and assign security rules and classifications within the Millennium system. Serve as point person for synchronization/entry of biographical and financial data between Millennium and the online alumni community.

Essential Function

Supervise the Institutional Advancement division Development Associate for preparation of gifts for entry into the database and the donor acknowledgment process, as well as biographical data updates, donor relations activities, and research requests. Supervise Student Biographical Workers in biographical data updates and other general office work for the development services department. Oversee both positions for completion of job duties, delegating work projects, time management guidance, provide training, and write performance reviews.

Prepare and update relevant polices and procedures for gift processing/data management along with developing new polices and procedures as they come up.
